Privacy policy
This policy describes the PoolSideQuests website and the current personal-use version of Brandon’s Email Butler.
Information Email Butler accesses
With your authorization, Email Butler uses the Gmail API to read connected account addresses, message identifiers, senders, subjects, dates, labels, and email body text. It uses this information to classify messages and prepare a morning brief. Each connected account has separate OAuth credentials and processing checkpoints.
You may supply a display name, preferences, personal context, a delivery address, and classification examples for your profile.
How the information is used
Message content and profile context are provided to a locally running Ollama model for classification and briefing. Classification examples guide future runs; they are not used by this application to train a general-purpose AI model. The current application does not send email content to a hosted AI service.
If brief delivery is enabled, the generated brief is sent through Gmail to the recipient configured for that profile. That recipient may be different from the inbox owner. Choose a recipient who is authorized to receive the information in your brief.
Storage and retention
The computer running Email Butler stores OAuth tokens, profile settings, classification examples, progress checkpoints, generated briefs, and diagnostic/run archives. Saved examples and diagnostic files may contain email-derived information. These files remain until you or the computer’s operator delete them; the current application does not automatically expire the run history.
Files stored in a synced folder, such as OneDrive, may also be uploaded by that sync service. Computer users, administrators, and backup providers with access to the storage location may be able to access the files. Email Butler does not add its own encryption to these local files.
Sharing and service providers
Google processes Gmail API requests, authorization, and emailed brief delivery. Email Butler does not sell Google user data, use it for advertising, or transmit it to PoolSideQuests website hosting. Sharing a brief, a diagnostic file, or a synced folder can disclose its contents to the recipients or services you choose.
Google API Limited Use
Email Butler’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Your choices and deletion
You can disable brief delivery, remove an account from a profile, stop running the application, or revoke its access through your Google Account connections. Revoking access stops future authorized access but does not delete previously saved local files or delivered emails.
To remove stored information, delete the relevant profile files, account tokens, saved training examples, progress files, generated briefs, and history archives from the installation and any backups or synced copies. Briefs already delivered must be deleted separately from the recipient’s mailbox. Contact the operator if you need help locating files on a shared installation.
This website
This static informational website has no Gmail login, advertising, analytics scripts, or contact forms. Its hosting provider may process ordinary request information, such as IP addresses, requested URLs, browser information, and timestamps, to serve and protect the website.
